Toolbelt Bots

Recipes

Each recipe is one job: the goal, what to connect, the text to paste, how to test it, and where it stops for you.

Before your first recipe

  1. Create one Bot with one job, and tell it the rules in its first message (Get started).
  2. Connect only the apps that recipe needs (Connect apps).
  3. Add Ask first rules in Settings, General, Auto-review, such as "Ask first before sending any external email" (Approvals).
  4. Use Test on a routine with safe inputs before you leave it running (Routines).
Leads

1. Morning missed-lead roundup

Every weekday before you roll out, get one list of every lead that came in overnight, with urgent ones first and a draft reply ready for each lead that left an email address.

2. After-hours web form triage

When someone fills in your website form at night, the Bot sorts it into emergency, next business day or quote request, and posts a one-line summary in its chat so you get one notification instead of a pile of emails.

Connect: The Bot's own email address

Paperwork

3. Truck voice memo to job log

After each job, talk for half a minute from the truck. The Bot turns it into one tidy row in your Google Sheet job log, with parts used and any follow-up, and reads the row back to you.

Repeat work

4. Tune-up reminder drafts

Once a month, the Bot finds customers who are due for maintenance and creates a reminder email draft for each one who agreed to hear from you.

5. Review request drafts after each job

At the end of each workday, the Bot drafts a short thank-you email with your review link for every job finished that day.

Connect: The Job log sheet from the voice memo recipe, plus a Review asked column and a customer Email column

Planning

6. Monday weather-load brief

Every Monday morning, a short brief of the week's forecast for your service area, with the days that usually mean heavy call volume flagged by your own rules.

Connect: Nothing to connect: the Bot reads the public National Weather Service forecast in its browser

Sales

7. Quote draft from your price book

Send job notes and photos; get back a line-item quote draft priced only from your own price book, with anything missing listed separately instead of guessed.

Parts

8. Supplier price and stock check

Give the Bot a list of part numbers; it checks your supplier's website for the price shown to your account and stock at your branch, and returns a table with links. It never adds anything to a cart.

Connect: Your supplier account login

Money

9. Overdue invoice reminder drafts

Once a week, the Bot lists invoices past due and drafts a polite, factual reminder for each, skipping anyone you have told it to leave alone.
