Truck voice memo to job log

After each job, talk for half a minute from the truck. The Bot turns it into one tidy row in your Google Sheet job log, with parts used and any follow-up, and reads the row back to you.

You'll need
  • Grok Bot phone app (iPhone or Android)
  • Google Sheets and Google Drive connected
  • A Google Sheet named Job log with columns: Date, Customer, Address, Work done, Parts used, Follow-up, Invoice notes
Time saved, honestlyIt replaces typing notes into a sheet at night. You still check each row, and we have not measured the time saved.

Steps

  1. Make the sheetCreate the Job log sheet with the columns above. The connected Google account needs edit access; a sheet shared as Viewer stays view-only.
  2. Connect Sheets and DriveAdd Google Sheets (to edit cells) and Google Drive (to find the file) in Connect apps.
  3. Create a Job Notes BotPaste the setup message below.
  4. Use it from the truckIn the phone app, use Start dictation or record a voice memo and attach it. On iPhone you can also share an audio file into the chat; on Android the share sheet currently accepts text only.
  5. Check the read-backThe Bot replies with the row it added. Correct anything wrong in the same chat.

Paste this into the Bot's chat

Your job is job notes for [SHOP NAME]. When I send a voice note, dictation or text about a job:
1. Add one new row to the Google Sheet "Job log" ([SHEET LINK]) with Date, Customer, Address, Work done, Parts used, Follow-up, Invoice notes.
2. If the customer name or address is unclear, ask me before writing.
3. Never delete, overwrite or reorder existing rows.
4. Reply with the exact row you added.
Remember this for future work.

Limits

  • Speech-to-text can mishear model and part numbers. Read them back before you rely on them.
  • It writes what you say; it does not check your work or pricing.
  • Use the desktop app for setup; the phone app is for sending notes and reviewing.

Safety notes

  • Do not dictate card numbers, alarm codes or gate codes. Those do not belong in a shared sheet.
  • All your Bots share one cloud computer and your connected apps, so any Bot on your account can reach this sheet.
