For HVAC, plumbing and home-service owners
Put a bot on the paperwork. Keep your hands on the tools.
Copy-and-paste setups that turn Grok Bot into a front-office helper: overnight leads sorted by morning, truck notes in a tidy job log, tune-up reminders and invoice follow-ups drafted for you to send. Nothing goes out without your OK.

01
One job per recipe
Each recipe does one thing: what you need, the exact text to paste, and how to test it before you trust it.
02
Drafts, not surprises
Every recipe keeps emails, quotes and anything involving money as drafts you approve. We say what the bot can't do, too.
03
Kept current
Grok Bot changes often. We read the official changelog every week and flag recipes that need a fix.
Start with these
Morning missed-lead roundup
Every weekday before you roll out, get one list of every lead that came in overnight, with urgent ones first and a draft reply ready for each lead that left an email address.
LeadsAfter-hours web form triage
When someone fills in your website form at night, the Bot sorts it into emergency, next business day or quote request, and posts a one-line summary in its chat so you get one notification instead of a pile of emails.
PaperworkTruck voice memo to job log
After each job, talk for half a minute from the truck. The Bot turns it into one tidy row in your Google Sheet job log, with parts used and any follow-up, and reads the row back to you.
Repeat workTune-up reminder drafts
Once a month, the Bot finds customers who are due for maintenance and creates a reminder email draft for each one who agreed to hear from you.
ReputationReview request drafts after each job
At the end of each workday, the Bot drafts a short thank-you email with your review link for every job finished that day.
PlanningMonday weather-load brief
Every Monday morning, a short brief of the week's forecast for your service area, with the days that usually mean heavy call volume flagged by your own rules.
What you need
- A Grok Bot plan. It is a paid product; see Plans and billing.
- The desktop app for setup, and the phone app for the truck.
- The apps you already use: Gmail, Google Calendar, Google Sheets. Tools without an app, like most field-service software, are handled through exports or the bot's browser.
- About an evening to set up your first recipe and test it.
Honest about time saved
We don't publish "hours saved" numbers we haven't measured. Each recipe says which chore it replaces and what you still do yourself.
Status: these recipes were written from the official docs on October 26, 2026. Field-testing in real shops is in progress, and each recipe will show its last test date.
